Smart lists are lists that update dynamically when you make changes to tasks in your other lists and folders, for example by adding a star or a due date. You can access your smart list settings from the Zenkit To Do app settings.




Inbox

Depending on the way you like to work, the Inbox may be the central way you manage your tasks.


The Inbox is designed to be your first port of call, the first place that you add new tasks as they appear throughout the day. Once in the Inbox, you can move tasks to the right lists, or tackle them straight away to quickly get them off your to-dos.



The Inbox works particularly well if you choose to use Zenkit To Do within a workflow or system like GTD, where all information is gathered in one central location before being "processed" and added to other lists or your calendar.


Unlike other smart lists, the Inbox cannot be hidden and will always remain at the top of your home list. 


Assigned to Me

The Assigned to me smart list shows all tasks assigned to you across all lists in your account. It will only show incomplete tasks, which means that it's the clearest way to get a full overview of all current and upcoming tasks you're responsible for.



Accessing Assigned to me

To access your assigned tasks, tap or click on "Assigned to me" at the top of the navigation panel or the home menu. If you're not assigned to any tasks, "Assigned to me" may not be shown as it is set to auto-appear by default. You can find the option to toggle on or off this auto appearance in your smart list settings.


Grouping and sort order

Tasks in "Assigned to me" are grouped by list. Tap on a list name to go to that list and view all tasks there. The list groupings appear in the same order as they are sorted on your home list. If you use folders, folders that appear first in the list are sorted to the top, then lists within that folder appear in the same sort order, too. To change the order, drag and drop folders and lists from the home list/navigation panel.


Adding a new task

If you add a task using the "Add Task..." button at the top of your "Assigned to me" list, a new task will be created and you will automatically be assigned to it. You can change which list the task appears in by tapping or clicking the list name shown in grey underneath the task input field. The most recently used list will appear here by default. Hit "Enter" or tap/click "Create" to finish creating the new task.


Starred

Starred tasks are an excellent way to keep track of your most important tasks and to-dos. With starred tasks, you can tag any task from any list as a favorite, and it will be displayed in your "Starred" list. At this time, starred tasks are a private feature. Nobody else will be able to see which tasks you mark as starred.



How to star a task

To star an open task, just click or tap the star! Simple as that. To star an unopened task in the mobile app, swipe left on the task and tap the star. To star an unopened task in the desktop or web app, tap the vertical ... icon that appears to the right of a task on hover, and choose "Mark as starred".



The Starred smart list

To access your starred tasks, tap or click on "Starred" at the top of the navigation panel or the home menu. Tasks are displayed grouped by list. If you've not marked anything as starred, the "Starred" list may not be shown as it is set to auto-appear by default. You can find the option to toggle on or off this auto appearance in your smart list settings.


Adding a new starred task

To add a new task to a list and automatically mark it as starred, open your Starred smart list, tap or click the "+ Add Task" bar at the top of the list and type the name of the task. You can also select the list you'd like to add it to by tapping or clicking the name of the list shown under the task name you're typing.

Today

The "Today" list shows you all tasks across all lists that are due on or prior to the current date and have not yet been marked as complete.



Accessing Today

To see tasks due today or overdue tasks, tap or click on "Today" at the top of the navigation panel or the home menu. Tasks are displayed grouped by list. If no tasks are overdue and no tasks are due today, you may not see the "Today" list in your home menu as it is set to auto-appear by default. You can find the option to toggle on or off this auto appearance in your smart list settings.

Week

The "Week" list shows you all tasks across all lists that are due in the next 7 days, with today's date as day 1. Overdue tasks are also included in this list. 



Accessing Week

To see tasks due this week, tap or click on "Week" at the top of the navigation panel or the home menu. Tasks are displayed grouped by list. If no tasks are overdue and no tasks are due this week, you may not see the "Week" list in your home menu as it is set to auto-appear by default. You can find the option to toggle on or off this auto appearance in your smart list settings.

All

The "All" list shows you all active (i.e. not done) tasks in all lists, grouped by list. This is hidden by default, and can be toggled on from the smart list settings.



Done

The "Done" list shows you all completed tasks in all lists, grouped by list. This is hidden by default, and can be toggled on from the smart list settings.
